The Challenge

The agency runs with agents across several regions, and the work itself is well understood — leads come in, get qualified, documents are collected, buyers are matched to properties, deals close. All of it was being done by hand.

Client questionnaires were filled in on paper. Documents were chased by email and signed in person. Every proposal was assembled from scratch, which meant an agent either spent an afternoon tailoring it or sent something generic. And with the pipeline living in spreadsheets, nobody could see at a glance which leads were worth the next call.

Off-the-shelf CRMs did not fit. Real estate has its own shape: a lead is scored on financing readiness before anyone views a property, documents have to be complete before a match makes sense, and performance is measured in commissions and completions rather than deals closed.

The Solution

We built NART CRM — a system designed around the agency's own process rather than adapted from a template. Every screen reflects a step the team already takes.

A pipeline that matches the real process

Leads move through the stages the agency actually uses — first appointment, documents requested, documents complete, property matching, second appointment. Each card carries the lead score, the source it came from and the budget range, so an agent can read the state of a deal at a glance.

Lead scoring, visible on every card

Each lead carries a score with a colour marker, so the team can see instantly which contacts are worth the next call. Leads arriving from advertising are tagged with their channel, which makes it possible to judge which sources are producing real business rather than volume.

Performance in numbers, not guesses

A dashboard showing sales targets, commissions, completion rate and average deal value, filterable by individual, team, region or the whole organisation, and by week, month or year. Comparison against the previous period is built in, so a change is always shown in context.

Roles, teams and permissions

Agents see their own pipeline. Team leads see their team, with read-only access to individual pipelines where notes can still be added. Administrators manage users, teams and lead routing. Built so the structure can grow without a rebuild.

Proposals that assemble themselves

The consultation questionnaire is filled in digitally, and what the client says there drives what they receive. The system builds a modular proposal from those answers — addressing the concerns that client actually raised, rather than a template that covers everything and speaks to no one. What used to be an afternoon of tailoring is now a document that arrives ready to review.

Paperwork, digital end to end

The consultation form, the supporting documents and the signing all happen in the system. Nothing is printed, posted or chased by email, and every document sits against the client record where the next person can find it.

Scheduling, campaigns and contacts in one place

Appointment scheduling, email campaigns and the full contact database sit inside the same system as the pipeline, so nothing lives in a separate tool that has to be kept in sync by hand.
